THE EMPLOYER IS: SHANTALLOW COMMUNITY RESIDENTS ASSOCIATION The Receptionist / Administrative Assistant plays a vital role in ensuring the smooth day-to-day operations of the office. This position serves as the first point of contact for visitors and clients, while also providing administrative support to management and team members.
Responsibilities- Greet and assist visitors in a professional and welcoming manner.
- Answer, screen, and direct incoming calls and emails.
- Maintain a tidy and organized reception area.
- Handle incoming and outgoing mail and deliveries.
- Prepare and format documents, correspondence, and reports.
- Schedule appointments, meetings, and conference room bookings.
- Maintain office supplies inventory and place orders when necessary.
- Support internal communication and coordinate office activities and events.
- Assist with onboarding new employees and maintaining employee records.
- Manage filing systems - both physical and electronic.
- Liaise with vendors, service providers, and building management as needed.
- Provide general administrative support to executives and team members.
- Communication Skills - Clearly interacts with clients, visitors, and colleagues in person, by phone, and in writing.
- Organization and Time Management - Efficiently manages multiple tasks, schedules, and prioritizes to keep daily operations running smoothly.
- Customer Service - Provides a helpful experience for visitors and callers, addressing inquiries promptly and courteously.
- Computer and Office Software Proficiency - Uses applications such as Microsoft Office (Word, Excel, Outlook) or Google Workspace to handle correspondence, reports, and records.
- Attention to Detail - Ensures accuracy in data entry, scheduling, document preparation, and record-keeping.
