Job DescriptionTo coordinate day-to-day technical operations, including inspections, verification of service provider performance, and technical documentation, while providing support for tendering, procurement, and CRM/ERP processes for Company-managed associations.
Key Accountabilities:CRM / ERP & Work Order Management
- Handle CRM and ERP operations related to technical services for Company associations, including work orders, cases, purchase requests (PRs), and contractor performance certificates (CPCs).
- Review and approve PRs for technical and maintenance services, ensuring correct classification, coding, and scope alignment.
- Generate and follow up on CPCs and related documentation in coordination with Finance and Administration.
- Conduct technical inspections for ad hoc, corrective, and planned preventive maintenance (PPM) works completed by service providers.
- Verify completion of ad hoc and corrective works and confirm monthly PPM execution in accordance with contractual requirements.
- Attend contractor site visits for ad hoc works, ensuring compliance with work permit procedures and access requirements.
- Prepare monthly KPI reports for service providers and submit to Administration and Management.
- Identify and highlight recurring issues, performance trends, and non-conformities to the Technical Engineer or Senior Association Manager.
- Initiate Requests for Tender (RFTs) and draft Scopes of Work (SoWs) for projects and tenders, submitting them to the Technical Engineer/Manager for review and approval.
- Maintain organized documentation related to tenders, projects, and technical correspondence.
- Diploma or Bachelor's degree in Engineering, Facilities Management, or a related technical field.
- 3–5 years of experience in technical coordination, facilities management, or building maintenance.
- Experience working with CRM/CAFM/ERP systems; MS Dynamics 365 is an advantage.
- Strong understanding of PPM, corrective maintenance processes, and contractor performance monitoring.
- Strong communication and coordination skills when working with internal teams, contractors, and residents.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
