About the RoleThe Home Administrator provides comprehensive administrative support to the Home Manager, ensuring the effective operation of administrative systems and processes.
Main Duties and Responsibilities- Support the centralised sales, purchase ledger, and payroll systems by providing accurate information to meet required deadlines.
- Draft standard communications, including letters and emails, on behalf of the Home Manager.
- Serve as the first point of telephone and face‑to‑face contact for visitors and callers.
- Develop and maintain databases and spreadsheets.
- Collate statistics and produce reports.
- Prepare documents and presentations from supplied materials.
- Manage petty cash returns.
- Submit weekly/monthly reports to the Managing Director and Central Support functions (Finance, HR, Payroll, Legal).
- Maintain effective filing systems for resident and personnel files.
- Assist the Home Manager with recruitment processes, including arranging interviews and ensuring all regulatory compliance checks.
- Maintain an organised archiving process, ensuring safe and secure file storage.
- Process incoming and outgoing mail and email.
- Attend meetings, produce accurate minutes, and coordinate action points.
- Produce complex reports, assist with regulatory inspections, and support marketing activities.
- Provide on‑the‑job training.
- Promote positive team working.
- Provide line management support to Administration Assistants.
- Be responsible for own practice and directly managed colleagues.
- Ensure health, safety and welfare at work for yourself, colleagues, residents, and visitors.
- Be fully conversant with Safeguarding of Vulnerable Adults and Whistleblowing policies.
- Maintain confidentiality under the Information Governance Policy.
- Build positive relationships with colleagues, residents, visitors, and health professionals.
