Motorsport Project Coordinator at DHL Global Forwarding
The UK Motorsport Division undertakes an array of events and logistics including, but not limited to, F1, Formula E and WEC. This niche team acts as a concierge service for all teams and suppliers’ logistics requirements from event to event, serving as a permanent bridge from tracks to their HQs. This can range from full team support, full charter flights, down to nuts and bolts or batteries for a failed TV camera.
As a Project Co-Ordinator you will be part of a team responsible for the workflow and administration, directly interfacing with clients and operations to ensure expectations and commitments are met timely.
Key Responsibilities- Fully understand the workflow and processes.
- Inform the operational team of customer requirements to ensure transport bookings are created and confirmed to meet the project’s timeframe with UK and overseas agents.
- Look for cost savings and report to management at the end of each period.
- Ensure timely updates are provided to customers in the agreed format (email, Whats App, SMS).
- Prepare, control and distribute all required documents, and upload where necessary into the system.
- Check responses from counterparts and overseas offices, and validate required documents.
- Follow up shipment status.
- Identify performance issues of suppliers and propose solutions to improve/correct performance; record/report any slippages or compliance infringements to the Team Lead.
- Engage with Operations & Transport Team to identify performance issues related to suppliers and propose improvements; record/report any issues to the Team Lead.
- Collaborate with others within the Motorsports Function to ensure smooth handling of shipments and continuous updates.
- Collaborate with the Accounts Team to ensure timely billing at the end of each event.
- Manage project schedules to ensure timely operational and compliance processes.
- Minimize potential losses by understanding impact.
- Collaborate with the Operational and Trackside teams to ensure smooth customer-related process flow for each event.
- Ensure all internal inquiries are responded to promptly and professionally.
- Escalate issues to the Team Lead when required.
- Perform any other duties within capability.
- Ensure all interactions comply with the DHL Code of Conduct and other compliance requirements (e.g., anti-corruption).
- Contribute to the First Choice continuous improvement program.
- Minimum three years of Operations experience with strong knowledge of Operations processes and systems.
- Experience with in events logistics is preferable.
- Proven ability to identify and meet customer needs in a professional and friendly manner.
- Good written and spoken English; excellent telephone skills; good knowledge of Microsoft Office.
- Excellent interpersonal skills.
- Able to prioritise and perform under pressure.
- Self-directed working style.
- Good commercial attitude and commercial awareness.
- Effective communication with overseas stations (written and spoken).

37.5 hours per week. Travel may be required.
