Deeds Administrator – Edinburgh

CMS is recruiting Deeds Management Administrators across UK offices including Edinburgh. This role is fully office‑based and reports directly to the Deeds Manager. In the manager’s absence, the administrator will take ownership to ensure continuity and high standards.

About

The Role

The role is vital to the smooth operation of our deeds management service, working closely with internal stakeholders, clients, and external firms.

Responsibilities
  • Review and manage physical and electronic documents, deal rooms, and deed packets.
  • Rename scans, upload documents to Work
    10 and deal rooms, track documents electronically and physically.
  • Create, maintain, and archive deal rooms and records management system packs.
  • Interface directly with clients, partners, and fee earners on deeds, inventories, and off‑site storage.
  • Record time in Carpe Diem and run monthly reports from the Records Management system.
  • Undertake project work directed by fee earners or the Deeds Manager and perform ad‑hoc tasks as required.
  • Use various records‑management systems and software packages; capture and relay action points from customer feedback and team meetings.
About You
  • Basic understanding of Real Estate practice and the legal industry.
  • Fast and accurate keying skills with meticulous attention to detail.
  • Competent to work independently or as part of a team; good IT and internal systems knowledge.
  • Organised, initiative‑driven, methodical and structured in daily tasks.
  • Professional outwardly towards all clients.
