The Patient Services Officer supports the smooth running of Tor View Clinical Rooms (Exeter) and Ultra cardiac's entire diagnostic services by providing high-quality administrative support and light operational duties. As the primary on-site point of contact, the individual helps maintain a safe, organised, and welcoming environment while ensuring patients receive an excellent experience. The role supports the Patient Services Team with general administration, front-of-house duties, and site co-ordination tasks.

- Act as the on-site point of contact for patients, clinicians and visitors.
- Maintain the clinic environment, ensuring it is fully stocked, tidy, and operating smoothly.
- Act as an integral member of the Patient Services Team in delivering a consistent, high-quality service.

Job responsibilitiesKey Responsibilities
- Welcoming patients, check them in, and provide information as needed.
- Manage appointment queries, referrals, and general communication.
- Ensure accurate and timely entry of patient information and documentation.
- Support Clinical Services with practical administrative needs.
Site Coordination
- Take day-to-day responsibility for the site's environment.
- Monitor and restock supplies suppliers (domestic supplies, stationery and clinical consumables).
- Complete regular basic checks on cleanliness, safety, and standards.
- Report facilities issues promptly to the Patient Services Manager.
Team Support & Professionalism
- Liaise routinely with the Patient Services Team Leader and Manager.
- Contribute positively to team communication, positive workplace culture, service improvement, and patient experience.
- Represent Ultra cardiac professionally at all times.
Please note that this role is primarily based at Tor View Clinical Rooms (Exeter), however will require ad hoc travel to our headquarters in Plymouth.
Person Specification Experience- Previous administrative experience required.
- Experience with in a healthcare setting or customer-facing service preferred.
- Strong communication and organisational skills.
- Ability to work independently and confidently take ownership of day-to-day tasks.
- Understanding of NHS standards, patient pathways and/or diagnostics if preferable.
