Accounts Payable Specialist

Description

We are looking for an Accounts Payable Specialist to support day-to-day payment operations for a Long-term Contract assignment based in Parsippany, New Jersey. This position will focus on keeping invoice processing, reimbursements, and disbursements organized and accurate while providing dependable coverage during a leave of absence. The ideal candidate brings strong attention to detail, confidence working in Sage Intacct and Excel, and the ability to manage a steady volume of accounting tasks with minimal oversight.

Responsibilities:

- Process vendor invoices, employee reimbursements, and other payable transactions accurately and in a timely manner.

- Review and assign correct account codes to invoices before entry into the accounting system.

- Prepare daily payment activity, including checks and electronic disbursements, while maintaining proper documentation.

- Coordinate recurring check runs and confirm that approved payments are issued according to schedule.

- Record accounts payable entries in Sage Intacct and ensure supporting records are complete and organized.

- Reconcile payable-related accounts and research discrepancies to maintain accurate financial data.

- Monitor outstanding items, follow up on exceptions, and help resolve payment issues with internal teams or vendors.

- Use Excel to track payment status, organize supporting data, and assist with reporting needs.

Requirements - Hands-on experience in accounts payable within a fast-paced accounting or finance environment.

- Proficiency with invoice coding, account coding, and payment processing procedures.

- Experience handling ACH transactions, check preparation, and scheduled check runs.

- Working knowledge of Sage Intacct for accounts payable processing and transaction entry.

- Strong Microsoft Excel skills for tracking, reconciliation, and data review.

- Ability to perform reconciliations accurately and investigate discrepancies independently.

- High level of accuracy, organization, and attention to detail when managing financial records.
