Job Role:The Project Operations Administrator role will involve working alongside other members of the team assisting with administrative tasks and responsibilities across our Purchasing, Travel & Fleet functions. Due to the nature of the role and related responsibilities, a permanent onsite presence is required at our office, The Oast, in Faversham.
Skills and Experience:- You are a great communicator, whether that’s in-person, over the phone or in writing (i.e. Email & Teams) and are happy collaborating with colleagues to get the job done.
- You must be process driven, detail focused, organised and able to prioritise tasks and work to deadlines.
- You enjoy working with numbers and have previous experience working with Excel.
- You must be able to work as part of a team but also comfortable working on your own.
Purchasing Administration
- Actioning Purchasing requests and raising Purchasing Orders
- Dealing with Quote requests
- Maintaining the Purchasing Inbox
- Checking Order confirmations against Purchase Orders and updating the relevant information
- Chasing Suppliers for updated lead times
- Actioning Fault/Return requests with suppliers / manufacturers
- Ensuring Purchasing related documentation is kept up to date
Travel Administration – As and when required, assisting with:
- Dealing with Travel enquiries, requests and bookings
- Creation and distribution of Travel Itineraries
- Ongoing management of Travel Itineraries
Fleet Administration – As and when required, assisting with:
- Booking service / maintenance calls
- Dropping off / picking up of Pool cars from service agents
- Monitoring and maintaining pool car bookings
Title: Project Operations Administrator
Hours of work: 9am to 5pm Monday to Friday (35 hours per week)
Location: Faversham, Kent.
Type: 3 month fixed term contract (maternity cover)
