Our client, a leading professional legal firm, is seeking an experienced Executive Assistant to join their dynamic team in Glasgow. The firm provides expert legal advice to clients across the UK, combining specialist expertise across multiple practice areas to deliver tailored solutions and exceptional results.
As the Executive Assistant
, you will provide proactive, high‑level support to the Family team, ensuring the smooth and efficient operation of the department.
- Manage diaries, appointments, meetings, and associated logistics
- Handle new client enquiries and record key details accurately
- Prepare meeting papers, itineraries, and background information
- Proactively manage emails and prioritise tasks for lawyers
- Manage and store correspondence and documents using the firm’s Document Management System (DMS)
- Track multiple ongoing projects and ensure timely follow‑up on key actions
- Provide support during team absences and ensure workflow continuity
- Input and maintain data within the case management system
- Communicate professionally with clients and third parties via phone, email, and in person
- Prepare and maintain spreadsheets, reports, and letters of engagement
- Assist with billing, expenses, and invoice processing
- Support document preparation, case management, and the collation of trust bibles
- Arrange travel and accommodation bookings and manage related logistics
- Proofread and format documents to a high standard
- Provide administrative cover and contribute to wider team projects as required
- Knowledge and experience of working within a busy Personal and Family team
- Accurate and competent in document production including formatting and presentation
- Strong organisational skills with the ability to manage multiple priorities and tight deadlines
- Excellent communication and interpersonal skills, confident dealing with stakeholders at all levels
- Strong IT literacy, proficient in Microsoft Word, Outlook, Excel, and Power Point
- Experience using Aderant, DMS, and Big Hand systems (preferred but not essential)
- Highly accurate with excellent attention to detail
- Adaptable, proactive, and able to work independently or as part of a team
