Executive Assistant – De Stroopwafel (Raytheon UK)

About the RoleSupport two senior leaders in the Leadership Team of Raytheon UK, reporting to the Chief Executive & Managing Director. This dynamic, fast‑paced position involves executive‑assistant duties, engagement in their businesses, and participation in various projects.
Main Duties- Diary management – proactively organise two extremely busy diaries, coordinate meetings across regions and time zones, and accommodate last‑minute changes.
- Key point of contact – act as an ambassador for the office with professionalism, confidentiality and discretion.
- Work closely with the admin support team – act as backup to the Senior EA, provide holiday cover, encourage clear communications, share best practices.
- Email management – continuously check emails, respond on behalf of the leaders, flag urgent items, chase actions, and organise pre‑meeting preparation.
- Organise off‑site meetings – source venues, hotels, restaurants, travel, agendas, packs, and team‑buildings.
- Operations reviews – organise agendas, logistics, attend and chase actions, deliver prepared presentations, and pull data.
- Monthly reports – collate key business bullets, refine, and meet deadlines.
- General office duties – order supplies, catering, process site‑access requests, invoices, telephone support, and post.
- Travel – book travel, cars, hotels, visas, ensure policy compliance, and share key information.
- Expenses – submit, monitor approval process, and secure receipts.
- Arrange VIP/Ministerial visits – coordinate from start to finish and delegate tasks.
- Organise office events – All Hands, fairs, parties, partner with Facilities.
- Oversee admin teams – establish frameworks, chair meetings, bridge gaps, and share best practices.
- Extensive experience as an Executive Assistant to a senior leader.
- Expertise in complex diary management.
- Excellent communication and organisational skills.
- Advanced proficiency with Microsoft Teams, Word, PowerPoint, Excel, Outlook, Concur, iPhones, iPads, telecons, video conferencing, Zoom Gov, and Teams.
- Ability to handle multiple tasks and a diverse, busy workload.
- Proactive, self‑motivated, positive and pragmatic.
- Strong integrity, confidentiality, professionalism and composure.
- Personable at all seniority levels and supportive of peers.
- Strong business acumen and flexibility.
