Responsibilities
Project Coordination:
1. Coordinate and track tendering processes.
2. Supporting municipal public consultation processes.
3. Overseeing contractor work on-site.
4. Coordinating technical resources for installation and commissioning work.
5. Assist in the planning, execution, and monitoring and reporting of projects from initiation to completion.
6. Coordinate project activities, resources, and information to ensure timely and efficient project delivery.
7. Facilitate communication between project stakeholders, team members, and leadership.
General Support:
1. Access coordination and work scheduling for all sites in the program.
2. Assist in the review of contractor documentation (safety, insurance etc.)3. Coordinating tasks, deliverables, decisions to keep the project moving forward.
4. Assist in the on-site inspection and review of contractor work.
5. Assist in tracking project costs.
Other Program requirements:
1. Maintain comprehensive project documentation, including project plans, schedules, status reports, and risk assessments.
2. Ensure project documentation is accurate, up-to-date, and accessible to relevant stakeholders.
3. Supporting field staff on deployments as needed.
Performance Monitoring and Reporting:
1. Develop and generate regular reports on project progress, key performance indicators (KPIs), and overall program performance.
2. Identify areas for improvement and work with stakeholders to implement corrective actions.
Risk Management:
1. Ensure project documentation is accurate, up-to-date, and accessible to relevant stakeholders.
2. Maintain comprehensive project documentation, including project plans, schedules, status reports, and risk assessments.
Qualifications
Bachelor's degree in Engineering, Architecture, Project Management, CET or a related field.
Proven experience in project coordination, project management, or related roles.
Excellent organizational and multitasking abilities. Strong communication and interpersonal skills to work effectively with diverse stakeholders.
Proficiency in project management software and tools. Knowledge of document management systems is advantageous.
The incumbent will have strong results/service orientation and possess a high degree of skill in project/relationship management, verbal and written communications, presentation/consensus-building, facilitation and the ability to establish effective rapport with users/vendors.
