Part time Rural Coordinator - 4 days a week

We are seeking a highly organised and detail-oriented person for the position of part time Rural Coordinator to join a fabulous and close knit team on a rural estate on the outskirts of Hertford. The role will suit an individual with a good general knowledge and ideally, suitable experience of working farms, combined with strong administrative and practical qualities, to support the Head of Rural in the office and on the ground when required.

This role is a nice mixture of general office support alongside sometimes working out on the field. A full driving licence is essential for this position.

This is a part time position and will ideally be 4 days a week (28 hours a week), although some flexibility may occasionally be required.

Key Responsibilities General Support
  • Serve as the first point of contact and service for rural enquiries, appointments, site visits, utility works, etc. Actively support the Head of Rural by acting on these enquiries and, where appropriate, meet visitors/contractors/reps on site to handle the matter, applying judgement wherever appropriate.
  • Assist with the coordination of deliveries on farm and attend site(s) to take deliveries.
  • Run errands to suppliers, dealers and other third parties upon request of the Head of Rural.
  • Coordinate logistics for rural department meetings, events, and community outreach activities (this may include attendance at off-site events in the evenings or weekends).
  • Assist the Head of Rural with tracking expenditure and income, including review of invoices.
  • Coordinate fly tipping reports to the council for the rural team.
  • Coordinate grazing licences with the Head of Rural.
  • Assist the Head of Rural with tracking grant income, schemes, and scheme compliance. Research new schemes and external funding opportunities; make enquiries and assist with applications.
  • Assist with communication efforts, including newsletters, social media, and website updates, liaising closely with the Branding and Marketing Team.
  • Provide cover for other administrative staff and general support in the Estate Office, including answering phones, greeting guests and other ad hoc duties as and when required in line with the needs of the business.
Data and Record Keeping
  • Support with data entry/management using the Gatekeeper software in relation to farm inputs, outputs and performance.
  • Maintain livestock records.
  • Maintain and organise tree pinpoint data, tree inspections and tree/forestry logistics in liaison with the Head Ranger.
  • Maintain and organise conservation/wildlife records in liaison with the Head Ranger and wildlife groups, meeting them out on the ground and facilitating surveys.
  • Maintain and organise records relating to public rights of way and rural security issues.
Health and Safety, Maintenance and Inspections
  • Manage the Rural fleet and equipment inventory, including arranging and tracking servicing, maintenance and inspections of tractors, implements, vehicles and fixed plant equipment.
  • Maintain and produce accurate records, documentation and reports in relation to Health & Safety for the division.
  • Assist in compliance activities relating to farm standards, environmental compliance, grant compliance, etc…
  • Prepare and attend farm inspections, e.g. Red Tractor.
  • Arrange relevant training for members of the Rural Division, maintaining an accurate record and producing reports as and when required.
Rural Access and Outdoor Education
  • Coordinate school visits to the forest school and any other areas on the estate.
  • Undertake regular due diligence checks on the forest school/facilities as required.
  • Coordinate interest group tours and visits to the rural estate.
  • Coordinate youth group visits such as the Duke of Edinburgh and the Scouts.
  • Coordinate risk assessments for the above as required.
The Ideal Person
  • 3+ years of administrative experience.
  • A good working knowledge of rural characteristics.
  • Strong organisational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • The ability to think and act independently to resolve issues presented, whether in the office or on the ground.
