Accounts Payable Clerk

Description

We are looking for an Accounts Payable Clerk to support day-to-day finance operations for a Contract position based in Honolulu, Hawaii. This role focuses on accurate payment processing, organized financial recordkeeping, and timely payroll support within a mission-driven environment. The ideal candidate brings strong attention to detail, sound accounting knowledge, and the ability to manage multiple priorities while maintaining accuracy and professionalism.

Responsibilities:

- Enter approved payable transactions into the accounting system with accuracy and attach supporting documentation to maintain complete records.

- Prepare and distribute vendor and expense payments on schedule through electronic transfers and check issuance.

- Communicate with employees and external vendors regarding invoice progress, payment timing, and related account questions.

- Reconcile company credit card activity and record transactions promptly to keep financial data current and accurate.

- Process payroll and related benefits information while ensuring supporting entries are properly reflected in financial records.

- Maintain records for depreciation schedules, prepaid expenses, and property-related documentation for audit-ready files.

- Monitor contractor payment activity, provide status updates, and prepare annual 1099 reporting documentation.

- Coordinate tax exemption form processing, track applicable savings, and maintain related compliance records.

- Assign payroll costs by funding source and project location and complete adjusting entries during month-end and year-end close activities.

Requirements

- Associate's or bachelor's degree in accounting preferred; equivalent accounting experience of two or more years may be considered in place of a degree.

- Prior experience in nonprofit accounting is strongly preferred.

- Working knowledge of core accounting practices and financial controls related to accounts payable and payroll support.

- Proven ability to stay organized, work independently, and manage shifting priorities in a deadline-driven setting.

- Experience using Quick Books, Microsoft Excel, and other Microsoft Office applications.
