Description
The DMS Migration Analyst will play a key role in supporting the transition from the legacy Document Management System (DMS) to a new DMS platform. This role involves analyzing existing document structures, metadata, and workflows, preparing migration requirements, and supporting validation and execution of the migration process. The ideal candidate has strong analytical skills, experience in DMS environments, and the ability to work cross-functionally with business, IT, and quality teams.
Key Responsibilities
1. Analysis & Planning
Assess the current legacy DMS, including document volumes, metadata schema, folder structures, security models, and workflows.
Support creation of migration strategy, mapping rules, and classification models.
Identify data quality issues and propose cleansing activities.
Document business and system requirements related to the migration.
2. Migration Execution Support
Work with technical teams to validate migration scripts, mapping tables, and test loads.
Prepare and execute User Acceptance Testing (UAT) scenarios for migrated documents.
Validate migrated documents for completeness, accuracy, and metadata consistency.
Track and troubleshoot migration defects, coordinating with IT and vendors.
3. Documentation & Governance
Maintain migration-related documentation including mapping logs, validation reports, SOP updates, and configuration guides.
Ensure compliance with regulatory, quality, and data integrity standards (GxP, 21 CFR Part 11, Annex 11, etc.).
Support audit readiness and provide inputs for quality assessments.
4. Stakeholder Collaboration
Work closely with business users to understand document lifecycle and metadata requirements.
Coordinate with cross-functional teams (Regulatory, Quality, IT, Clinical, Manufacturing, etc.) to ensure alignment.
Assist in training and onboarding end-users to the new DMS features and processes.
Required Qualifications & Skills
Bachelor’s degree in Life Sciences or Computer Science, Information Systems, or related field.
3–7 years of experience in Document Management Systems (such as Veeva Vault, Open Text, Documentum, SharePoint, or similar).
Experience in system migration, data mapping, or metadata analysis.
Strong analytical and documentation skills.
Knowledge of GxP, regulatory documentation, and compliance standards.
Strong attention to detail with ability to work in fast-paced, cross-functional environments.
Experience with migration projects.
Background in pharmaceutical, biotech, or regulated industries.
Understanding of content strategy, taxonomy design, or information architecture.
