The NHS Race and Health Observatory is driving change to tackle racial and ethnic inequalities in health and care. We are looking for an Implementation Team Officer to provide vital support to our Implementation team, ensuring they operate efficiently and effectively every day through coordinating meetings and events, managing diaries, handling enquiries, and supporting finance and communications.

Main duties of the job
  • Keep the Implementation team moving smoothly by coordinating diaries, meetings, travel, accommodation, and logistical arrangements.
  • Be the first point of contact for external enquiries to the Implementation team, providing professional responses and escalating issues when needed.
  • Maintain organised systems, updating electronic files, contact lists, and records to ensure accurate and accessible information.
  • Support delivery and impact by preparing meeting papers, presentations, reports, and assisting with data entry and CRM updates.
  • Play a key role in events and processes, helping plan and promote online and in‑person sessions, taking minutes, and supporting finance tasks such as raising purchase orders.

  • Have experience providing high‑quality organisational and administrative support, with excellent attention to detail.
  • Communicate confidently in writing and verbally, including minute‑taking and coordinating with diverse stakeholders.
  • Bring strong skills in office systems and tools, from CRM platforms to Microsoft Office, with creative bonus experience using Canva or Adobe InDesign.
  • Build effective relationships with colleagues and senior leaders, working proactively both independently and as part of a team.
  • Thrive in fast‑paced environments.
Job responsibilities
  • Provide general administrative support and act as a first point of contact for external enquiries, ensuring professional and timely responses and timely escalation where necessary.
  • Assist with travel and accommodation bookings.
  • Provide diary and meeting coordination support for team members as required.
  • Maintain and update the Implementation team’s electronic filing systems, contact lists, distribution lists, and internal records.
  • Support members of the Implementation team in the preparation of meeting papers, presentations, and other documentation for the RHO Board and other external stakeholders.
  • Manage meeting room bookings and logistical arrangements.
  • Support data entry and basic data analysis tasks, including supporting the use and maintenance of the Customer Relationship Management (CRM) database.
  • Assist with the planning, delivery, and promotion of both online and in‑person events, including coordinating agendas and taking minutes.
  • Support the team with finance and administrative processes, e.g. raising purchase orders.
  • Undertake any other duties as required that are commensurate with the grade to support the effective functioning of the team.
Qualifications
  • Demonstrable experience of providing high‑quality organisational administrative support, with excellent attention to detail and accuracy.
  • Excellent written and verbal communication skills, including minute‑taking and stakeholder coordination.
  • Familiarity with office management systems and procedures, including experience using Customer Relationship Management (CRM) systems.
  • Confident user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and familiarity with design tools such as Canva, Adobe InDesign, or similar creative software.
  • Ability to build and maintain effective working relationships with internal colleagues and external stakeholders, including senior leaders.
  • Proven ability to work effectively both independently and as part of a team, demonstrating initiative and a proactive approach to tasks.
  • Ability to work adaptively in complex, fast‑moving environments, balancing competing priorities and deadlines.
  • Understanding of antiracism and commitment to furthering equity in healthcare.
