the closing date is 18 december 2025.

this post is fixed term/secondment for 13 months due to maternity cover.

the main purpose of this vacancy is to provide secretarial office duties such as transcribing medical correspondence, audio typing, undertaking mail and filing duties, retrieving patients' medical notes, scheduling theatre cases on the toms system, and dealing with patients, relatives, carers, and external partners on a day‑to‑day basis.

the post holder must demonstrate excellent typing/keyboard, communication, organisational, clerical, and it skills; work independently and as part of a multi‑disciplined team; and have a sound knowledge of microsoft office and nhs information systems (wpas/myrddin, toms, and referral to treatment principles).

they will manage the consultant’s diary, prioritise results, organise clinical activity and patient admissions, liaise with patients, general practitioners, and other health boards/trusts, and maintain waiting lists in line with university health board policy.

welsh skills desirable: speaking & listening skills at level 3 (cefr b2) or above are considered an advantage for short‑listing.

main duties of the job
  • plan own day‑to‑day tasks and duties.
  • undertake routine and audio typing of clinical correspondence.
  • update pathways in line with rtt guidelines.
  • manage consultant's diaries.
  • prioritise results, organise clinical activity, and patient admissions.
  • liaise with patients, general practitioners, and other health boards/trusts for ongoing treatment and care.
  • maintain waiting lists in accordance with uhb policy, dealing with patients, relatives, carers, and external partners tactfully and diplomatically.

person specification qualifications
  • rsa/ocr level iii or equivalent—good standard of education, comprehensive knowledge of medical/surgical terminology.
  • ecdl (european computer driving licence) or similar qualification; knowledge of uhb procedures; medical secretary qualification (e.g., amspar).
experience
  • previous experience in a secretarial role in a busy environment; ability to prioritise and manage workload; knowledge of the welsh pas (myrddin) system.
  • experience of working in a hospital environment and supervising staff.
aptitude and abilities
  • excellent keyboard and audio typing skills; excellent communication and telephone skills; able to deal with patients and relatives sympathetically; ability to interact with staff at all levels; confidentiality and diplomacy; excellent organisational and time management skills.
  • setting up office systems; ability to take shorthand.
  • welsh language speaking & listening skills at level 3 or above.
