Project Administrator – Part-Time (Tullochgorm Substation, near Lochgilphead)
Location: Tullochgorm, Argyll & Bute
Contract: 3-Year Fixed Term, Part-Time
We’re currently seeking a detail-oriented and proactive Project Administrator to support operations at our substation located adjacent to the village of Tullochgorm, near Lochgilphead. This part-time role is ideal for someone local to the area or looking to work in a scenic, rural setting while contributing to a long-term infrastructure project.
What you'll be doing- Maintain project action log including proactive action updates
- Keep a plant sheet recording all on-hire and off-hires in conjunction with the relevant Project Manager and Site Staff
- Update the plant sheet weekly and pass to Team Coordinator for input onto Oracle R12
- Order plant and material from internal and external supplies, arrange transport if required, and liaise with Plant Desk for repairs/replacements
- Keep SharePoint and site folders up to date
- Control all incoming and outgoing correspondence, project files, standards library, design log, minutes of meetings and other project-related documentation
- Issue and maintain site start-up packs for contracts
- Prepare documents for close-out of contract meetings and submit to client as required; take meeting minutes as directed by the Project Manager
- Check that all vehicles are allocated to the correct contract weekly
- Perform general duties such as minutes of meetings, photocopying, scanning and other ad‑hoc assistance as required by the company
- Experience in a busy office environment
- Ability to prioritise own work and allocate/check tasks
- Highly organised and capable of working on own initiative
- Strong communicator, able to speak confidently with all levels of colleagues within the business
- Excellent team-working skills and ability to build relationships at all levels
- Ability to work well under pressure and meet tight timescales
- Very strong customer focus
- Excellent typing skills and IT proficiency, including Microsoft Office (Excel, Word, PowerPoint); open to learning new software and rolling out new systems as required
- Driving licence essential due to the rural location of the project
