The

team

The commercial real estate team have expertise in all aspects of a commercial property transaction. The includes construction, planning, drafting commercial leases and sale and purchase of property or land.

The opportunity

This is a fantastic opportunity for an experienced legal secretary to join a team of three PA's/Legal Secretaries providing specialist administrative support to the Real Estate team of 6 partners and approx. 30 fee earners.

Responsibilities
  • Assisting fee earners to maintain/enhance the Department’s relationship with clients;
  • General administrative tasks such as paper filing, electronic filing (profiling), scanning and archiving;
  • Document creation and processing, including dictation and amending documents;
  • File management (file opening, closing, matter balance clearance, scheduling);
    Ensuring all correspondence, emails and documentation is accurately and properly electronically filed.
  • Maintaining client databases, including entering new client and contact information;
  • Liaising with clients to ensure client compliance, money laundering checks, conflict of interest checks and client care letters;
  • Arranging meetings, conference calls, zoom calls and events;
  • Ensuring fee earners are well prepared for meetings and all arrangements are made e.g. room bookings, catering etc;
  • Providing support to other support staff;
  • Providing support to the wider team as appropriate;
  • Take ownership of tasks allocated by the department ensuring effective delegation and management of tasks for the support team.
  • Assisting overflow of work/cover for absences;
    Client onboarding and client exiting
  • Scanning and profiling post
  • Any other duties as reasonably required by the partners and managers of the firm.
Who we are looking for

The successful candidate will take a proactive approach to their work and:

  • Posses at least 2 years experience working within Real estate law
  • Have experience managing the delegation of work to junior secretarial staff in a shared resource environment as well as providing training where necessary.
