Job Description & How to Apply Below
Customer Service Coordinator
We are seeking an attentive, dependable Customer Service Coordinator to handle incoming calls, relay critical messages, and manage after-hours administrative workflows in our small, dog-friendly office. In this role, you will perform essential administrative assistant tasks while acting as a reliable telephone operator, fielding varied calls that average about one minute each and dispatching on-call personnel. While this is not a high-pressure call center environment, candidates with a strong customer service mindset, background as a medical assistant, or prior experience in medical or insurance intake will excel.
Day-to-day work involves basic reception duties, updating logs using Microsoft Office tools like Word and Excel, organizing schedules, and maintaining light facility tidiness. You will also coordinate with an off-site logistics team or office administrator to ensure smooth shift handoffs and follow HIPAA standards.
Competitive Pay: $17/hr DOE to start! If you are transitioning from another customer service, we offer great starting rates for our 1st shift hours.
Comprehensive Benefits:
Includes premium health insurance (medical, dental, vision) and eligibility for an incentive recognition bonus program.
- Answer inbound phone lines swiftly, gather accurate caller details, and deliver top-tier customer service during brief, one-minute interactions.
- Act as an overnight telephone operator, routing urgent matters, taking clear messages, and entering on-call physician and service schedules.
- Function as an overnight administrative assistant, checking daytime messages, updating internal documentation in Word, and entering records in Excel.
- Perform light reception and front-desk maintenance duties, including sorting monthly mail, stamping envelopes, and keeping common office areas clean.
- Support incoming inquiries related to patient intake, prescription routing, or health insurance verification, drawing on skills typical of a former medical assistant.
- Track night-shift communication logs and dispatch transport or courier logistics requests as needed.
- Review night notes and forward pending action items to the daytime office administrator using the Microsoft Office suite.
- Maintain complete compliance with HIPAA regulations and facility security guidelines while operating the overnight shift independently.
- Typing & Data Entry:
Ability to touch-type accurately without looking at the keyboard; solid basic spelling and computer literacy. - Software Familiarity:
Comfortable handling day-to-day clerical tasks using Microsoft Office, specifically entering table data in Excel and creating notes or logs in Word. - Communication & Background:
Fluent in English (bilingual Spanish/English is a plus); prior experience in customer service, a multi-line call center, an insurance office, or as a reception specialist. - Healthcare Knowledge:
Experience as a medical assistant or medical administrative assistant is helpful for navigating HIPAA and medical intake terminology. - Office & Systems Acumen:
Working knowledge of front-office processes, message escalation, and scheduling coordination typically overseen by an office administrator. - Scheduling & Routing:
Understanding of basic delivery, service dispatch, or transport logistics to direct after-hours requests to the right on-call staff. - Reliability & Independence:
Must have dependable personal transportation (location is not bus-accessible) to report in during all weather conditions, a steady work history, strong attendance, and comfort working alone on an 8-hour shift in an office with dogs.
- Low-Stress, Independent Shift: A very laid-back, quiet work…
