To support the Prep Team in delivering a consistent and co-ordinated approach to the operational management of outpatient services across the organisation.
To ensure staff receive appropriate levels of training and supervision.
To support the Health Records Supervisor in updating the relevant computerised booking systems for clinic maintain session, ensuring this function is co-ordinated and updated accurately and in a timely manner.
To support the Health records Supervisor in the management of the administrative team on a day to day basis ensuring implementation of changes to ensure a clear operational streamlined approach is delivered to the team supported by standard operational procedures.
To follow Trust Policies in relation to patient information, storage of case notes and tracking procedures.

About usAn exciting opportunity has arisen within our friendly Health Records team to support the operational delivery of an effective support service to clinical teams. The successful postholder will support the Health Records team with day to day line management and co-ordination of the service.
The ideal candidate would have previous team leader experience and knowledge of NHS priorities and targets. They will be responsible for the day to day delivery of the prep service within the Health Records Library and will support with ongoing improvements following the implementation of the trusts new digital clinical system.
Job responsibilitiesTo support the Health Records Supervisor in the day to day running of the Prep area
To compile weekly rotas ensuring evening and weekend working is covered across all locations.
To provide leadership and support to the administrative team developing team working and encouraging a collaborative approach.
To ensure that there is a co-ordinated approach to reporting on key targets.
To liaise with other departments to resolve booking queries where necessary.
To support the Health Records Supervisor who has the responsibility for the organisation and co-ordination of cancellations and reduction and addition of clinics.
To support verbal/written complaints and pass on to line manager if no resolution can be reached.
Person Specification Qualifications- Educated to A level or equivalent experience
- Educated to NVQ level 3 or equivalent experience
- Knowledge across a range of out patient procedures and systems acquired through work based training
- Awareness of current NHS priorities and targets
- Knowledge of NHS information systems
- Understanding of confidentiality and the Data Protection Act 1998
- Knowledge of relevant HR/Health and Safety policies and legislation
- Previous team leader experience
- Experience of clinic scheduling and management of clinic changes
- Experience of instructing/training others
- Committed to developing individual staff and teams
- Experience of managing administrative services in an NHS setting
