Facilities Coordinator – CBRE Global Workplace Solutions

CBRE Global Workplace Solutions (GWS) is recruiting a Facilities Coordinator to be based in Milton Keynes, England. The role focuses on day‑to‑day delivery of planned and reactive maintenance tasks, supervision of specialist subcontractors and ensuring all Health and Safety procedures are followed as per CBRE HSE guidelines.

Responsibilities
  • Maintain QHSE documentation and readily available client CAFM records (eLogbook, Hazard Reports, training & competency records).
  • Ensure compliance with CBRE ISO 9001/14001 and all Quality Management Systems.
  • Identify and implement innovative performance enhancements across the contract.
  • Co‑ordinate and provide administrative support for delivery of Workplace Services (engineering, document, mailroom, office supply, cleaning, conference, meeting and event management).
  • Support Workplace Experience leadership with administrative duties including invoice processing, travel arrangements, expense reporting and general office support.
  • Manage vendor relationships, ensuring proof of insurance and contractual documentation are in place.
  • Respond to customer requests and complaints, coordinate office moves, and support the office Business Continuity plan.
  • Utilise digital tools such as SharePoint and other databases to maintain program materials and ensure brand compliance.
Qualifications and Behaviours
  • HS Diploma or GED required.
  • Minimum 1‑2 years related experience (Front Desk, Concierge, Hospitality, Room Management or Customer Service roles).
  • Strong written and verbal communication skills, including routine report writing.
  • Ability to interpret instructions, clarify questions and effectively present information to internal departments and large groups.
  • Comfortable in engaging new people, warm and engaging demeanour, empathy and problem‑solving skills.
  • Basic financial knowledge and analytical skills.
  • Proactive, team‑oriented, and able to work independently.
