Transport Coordinator

Summary: The Transport Coordinator reports directly to the Transport Manager with a dotted line to the Assistant Transport Manager (ATM). The role oversees and coordinates transport activities, manages the logistics of animal feed transport, optimises routes and ensures regulatory compliance. Requires strong organisational skills, advanced Excel and SAP knowledge, attention to detail and effective communication with stakeholders.
Key Responsibilities- Ensure compliance with FF procedure at all times
- Collect and manage weekly pre‑trip check sheets and cleaning records; file correctly or seek rectification, reporting repeat offenders to ATM
- Compile vehicle service checks; liaise with service provider to obtain missing paperwork within 24 hours
- Record and address vehicle defects; escalates to ATM if vehicle needs removal for safety; maintain defect log
- Arrange repair work with local garage and communicate with ATM
- Conduct weekly gate‑checks of vehicles
- File PODs each Saturday and end of month for archive
- Create driver declarations; no changes to employment or health status
- Escalate queries to ATM for investigation
- Populate driver and vehicle rota, accounting for holidays and repairs
- Guide and coach drivers on Flexipod compliance; escalated repeat offenders to ATM
- Daily reporting of vehicle utilisation in TUS
- Maintain Tachomaster days and overall software housekeeping
- Update daily tier accountability boards and attend meetings
- Provide positive feedback and raise concerns
- Print and distribute overtime sheets monthly for drivers
- Prepare daily travel plan, highlighting reloads and safety instructions
- Raise purchase orders accurately; track and liaise with third‑party companies to ensure timely paperwork
- Act as first‑line communication for drivers – provide directions, resolve complaints
- Ensure appropriate escalation for major concerns
- Update transport planning software with changes to the logistics schedule
- Record driver interviews, ensuring discretion and confidentiality
- Work within the company Environmental/Energy Management system (ISO 14001/50001)
