About the RoleThe Auctions team in Newcastle is expanding and we are creating a new Auction Coordinator position. The role supports the day‑to‑day administration of auction processes, offers vital support to the wider team, liaises with clients and ensures compliance with industry regulations. This dynamic position offers opportunities for growth within a fast‑paced environment.
Responsibilities- Proactively chase vendors for required Anti‑Money Laundering (AML) documentation in line with regulatory requirements.
- Accurately upload, update, and manage property data across internal systems.
- Conduct due diligence checks on auction listings to ensure all documentation and property information is complete and compliant.
- Handle and respond to viewing enquiries from prospective purchasers in a professional and timely manner.
- Draft and process memorandums of exchange following auction sales.
- Instruct solicitors and proactively chase outstanding legal packs and documentation.
- Monitor, record, and report on the source of incoming leads for auction properties.
- Carry out conflict of interest checks in accordance with company policies and procedures.
- Send contracts, legal packs and other key documentation to clients, solicitors and stakeholders.
- Provide comprehensive administrative support to the auctions team and assist with any additional duties as required to ensure efficient delivery of the auction process.
- Create and maintain a dedicated Bradley Hall Auctions presence on social media platforms such as Linked In and Instagram, including content creation, scheduling posts and engagement monitoring.
- Previous experience in an administrative role, ideally within property or professional services.
- Strong attention to detail and excellent organisational skills.
- Clear, confident communication skills, both written and verbal, with the ability to liaise with clients and colleagues at all levels.
- Proficiency in Microsoft Office and quick learning of internal systems (experience with Reapit & AMS CRM systems is an advantage).
- A proactive approach with the ability to manage multiple tasks and deadlines.
- Interest or experience in social media marketing would be advantageous but not essential.
- Ability to work both independently and collaboratively as part of a team.
