The Transport Coordinator reports directly to the Transport Manager with a dotted to the Assistant Transport Manager (ATM) . The Transport Coordinator is responsible for overseeing and coordinating transportation activities within the organization. This role involves managing the logistics of transporting animal feed, optimizing routes, and ensuring compliance with regulations. The ideal candidate will have strong organizational skills, excellent knowledge of excel is essential as is SAP knowledge, attention to detail, and the ability to communicate effectively with various stakeholders.
Key Responsibilities
- Ensuring compliance and FF procedure followed at all times:
- Collect and manage all drivers weekly pre-trip check sheets and cleaning records –
- If correct file them in designated folder
- if not correct then approach said driver for rectification, repeat offenders must be reported to ATM
- Compile and complete checks of vehicles serviced using relevant checklist
- If documentation is missing then you will be required to liaise with relevant service provider to get all paperwork within a 24 hour period
- Ensure all defects raised are dealt with in a timely manner, escalate to ATM if vehicle needs to be kept off the road for safety reasons.
- Defects should be recorded on the defect log, with completed signed copy kept in designated folder
- Arrange repair work with local garage & communicate with ATM
- Weekly gate-checks of vehicles
- Checking and filing POD’s each Saturday and end of the month to be archived
- Create and manage driver declarations – no changes to employment or physical and mental health
- Escalate all queries to ATM for investigation
- Populate the driver and vehicle rota – ensure holidays and vehicle repair is accounted for
- To complete Flexipod (or system that is in place) compliance, guide and coach daily issues direct with the individual, escalate any repeat offenders to ATM
- Daily reporting of vehicle utilisation in TUS
- Populate Tachomaster days & overall software housekeeping
- Populate the daily tier accountability boards for both logistics and production and attend the meeting
- Feedback positive news and concerns
- Print overtime sheets monthly for the drivers to complete
- To check, print and clip together the plan for next day, highlighting any reloads and safety instructions needed for the driver
- To accurately raise a purchase order
- Track purchase orders and liaise with third party companies to ensure paperwork received in a timely manner
- First line of communication for drivers – independent daily problem solving, directions, complaints
- Ensure transport planning software is updated following and ‘on the day’ changes to the logistics schedule
- Scribing driver interviews – ensuring discretion and confidentiality at all times
- Work within the Company Environmental/Energy Management system to ensure both internal and external standards are met (ISO 14001/50001)
- To complete integrum with Hazards and behavioural observations.
