Main Purpose of the Role
Provide comprehensive administrative support to the Home Manager and ensure the effective operation of administrative systems and processes.
Main Duties and Responsibilities
- Support centralised sales, purchase ledger and payroll systems by providing accurate information to meet required deadlines.
- Draft standard communications including letters and emails on behalf of the Home Manager.
- Act as the first point of telephone and face‑to‑face contact for visitors and callers.
- Develop and maintain databases and spreadsheets.
- Collate statistics and produce reports.
- Produce documents and presentations from provided materials.
- Manage petty cash returns.
- Prepare weekly/monthly submissions to the Managing Director or Central Support functions (Finance, HR, Payroll, Legal).
- Maintain effective filing systems for resident and personnel files.
- Assist the Home Manager with recruitment (online tools, interviews, references, criminal record checks and regulatory compliance).
- Maintain an organised archiving process, ensuring secure and retrievable files.
- Open and redirect incoming and outgoing mail and email.
- Attend meetings, produce accurate minutes and coordinate circulation of action points.
- Analyse information and produce complex reports.
- Assist the Home Manager with preparation for regulatory inspections and visits.
- Support marketing activities and provide initial information and advice in response to enquiries.
- Provide on‑the‑job training for new Administrative Assistants.
- Promote positive teamwork.
- Provide line management support to Administration Assistants.
- Take responsibility for own practice and directly managed colleagues.
- Ensure health, safety and welfare of yourself, colleagues, residents and visitors.
- Be fully conversant with Beaumont policies on Safeguarding of Vulnerable Adults and Whistleblowing.
- Ensure compliance with the Beaumont Information Governance Policy.
- Establish and maintain positive working relationships with colleagues, residents, visitors and health professionals.
- Act as an ambassador for Beaumont Vision and Values.
