Aureos are looking for a proactive and highly organised Bid Coordinator with a keen eye for detail to join our expanding infrastructure team. In this pivotal role, you will be responsible for coordinating bid submissions, managing tender portals, and ensuring all documentation is meticulously formatted and fully compliant with client specifications.

Key Responsibilities
  • Coordinate / manage the end-to-end bid process, from inception to submission.
  • Liaise with internal stakeholders (technical, commercial, legal, etc) to gather required input.
  • Develop, maintain, and update Bid Plan, trackers, and status reports.
  • Organise internal meetings including bid kick-off meetings, workshops, and reviews.
Portal Management
  • Monitor and manage tender portals.
  • Download and distribute tender documents to relevant stakeholders.
  • Upload final submissions and ensure all portal requirements are met.
  • Track clarifications, deadlines, and updates, and disseminate information to relevant stakeholders.
Document Formatting and Compliance
  • Format bid documents to ensure high-quality submissions.
  • Proofread and edit content for grammar, clarity, and compliance with client instructions.
  • Create and maintain templates, CVs, case studies, and other reusable content.
  • Ensure all submissions meet the specified formatting, word count, and structural guidelines.
  • Maintain and implement version control procedures for all bid documentation.
  • Manage and update bid libraries, including case studies, CVs, and templates.
About you
  • Proven experience in a bid coordination role (2-5 years preferred), ideally within the infrastructure or construction sectors.
  • Familiarity with public and private sector procurement processes.
  • Strong organisational and time management skills to manage multiple tasks and meet tight deadlines.
  • Excellent attention to detail and ability to work under pressure.
  • Experience with tender portals and document management systems.
  • Effective communication skills with the ability to liaise with multiple stakeholders.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Adobe (Acrobat and InDesign).
