Pharmacy Homecare and Purchasing Support Assistant
Zero Age is currently seeking a Pharmacy Homecare and Purchasing Support Assistant to support the NUH Pharmacy Purchasing team within the Medicines Purchasing department.
Job Summary
Join a team that provides finance and business support to the Pharmacy Department and the Trust.
Main Duties
- Assist in receiving purchase invoices, dating and filing appropriately.
- Accurately record invoice details on delivery notes and check goods delivery.
- File paperwork timely for easy retrieval of records.
- Maintain computerised records and other financial documentation complying with audit requirements.
- Process designated invoices for payment via the Pharmacy computer system, checking accuracy of supply, price, VAT and settlement discounts.
- Check discrepancies against contract information and price lists; refer queries to the Purchasing Manager/Deputy.
- Check monthly statements and chase outstanding invoices.
- Provide cover for homecare and purchasing staff in their absence.
- Assist with processing pharmaceutical invoices and credits.
- Ensure segregation of ordering, receiving, invoicing and payment of specific orders.
- Maintain confidentiality regarding business sensitivity, personnel information and patient confidentiality.
- Organise and plan workload to meet financial and operational deadlines.
- Undertake administrative duties such as telephone answering, photocopying and filing.
- Participate in team meetings to identify problems and suggest improvements.
- Undertake any other duties applicable to the grade/post as required.
Person Specification
Essential
- Planning and organisation skills; able to meet deadlines and work accurately under pressure.
- Minimum 4 GCSEs or equivalent at grade A-C (level 4-9), including English and Maths.
- NVQ Level 2 in business administration or relevant experience at this level.
- Experience of working in a business or office environment.
- Experience of financial processes.
- Good IT skills, especially Microsoft Office and good Excel spreadsheet skills.
- Good verbal and written communication skills.
- Able to handle sensitive information confidentially.
- Able to achieve both speed and accuracy when undertaking financial data tasks, experiencing frequent interruptions.
- Able to use a keyboard for a large part of the day.
Desirable
- NVQ Level 2 in accounting.
- Knowledge of Pharmacy terminology or pharmaceutical products.
- Able to analyse simple data and take appropriate actions.
