We are looking for a Business Support Assistant to join our growing team. This role supports the day to day running of the business and helps the wider team stay organised, prepared and able to deliver great work.
If you enjoy organising, communicating, coordinating tasks and helping a busy agency stay on track, this role will be a great fit.
This is a hands‑on role where you will support our Operations Lead, and creative team with practical tasks, admin and internal coordination. You may also occasionally support simple in person tasks in the Inverness area. We’re looking to invest in the right candidate, developing their skills and experience.
What you will be doingBusiness Administration Support
- Monitor shared inboxes and direct messages to the correct team members
- Draft simple holding replies when appropriate
- Organise documents, shared drives, folders and trackers
- Keep project boards updated with accurate information
- Support team scheduling including internal meetings and client calls
- Prepare agendas, reminders and meeting notes
- Assist with practical tasks such as arranging couriers and collecting assets
- Occasionally visit local clients or partners in the Inverness area to collect or deliver items or support small on‑site tasks
Support the marketing and creative workflow by helping with prep, organisation and basic content tasks. You are not responsible for strategy or sign off.
- Upload content, images and copy for approval or scheduling
- Gather assets such as logos, links, client information and visuals
- Draft simple social posts or charity updates for internal review
- Support the assembly of newsletters, including:
- Gathering content from the team
- Uploading text and images into email platforms
- Checking links, formatting and visuals
- Preparing test sends
- Assist with basic website updates such as replacing images or fixing small errors
- Keep marketing folders, reports and content libraries organise
- Support the coordination of marketing tasks by tracking deadlines and following up when asked
You support creation and organisation. You do not decide campaign plans, messaging direction or creative strategy.
Operations and Systems Support- Make simple updates to templates, Typeforms and internal documents
- Support the administrative side of processes such as buddy calls and onboarding tasks
- Follow up on missing information as directed by the Operations Lead
- Learn internal systems (project tools, shared drives, Word Press basics) so you can help keep everything tidy and accurate
You help maintain systems. You do not design operational processes.
