Job Description

The Facilities Database & Reporting Administrator collates and analyses local, regional and global facilities data to support both strategic and tactical decision‑making. Provides routine and ad‑hoc workplace reports for internal Facilities reviews and business case submissions. Coordinates regional contacts to support Global ESG goals, communicates with business functions on real‑estate usage patterns, and manages the Facilities portal page and databases for the global real‑estate portfolio.

Key Responsibilities
  • Collaborate with the global ESG team, the Regional Heads of Facilities, and Regional Administrators to gather data for quarterly and ad‑hoc ESG regulatory reports, audits and tracking of global ESG goals.
  • Support strategic and tactical reviews of the Facilities portal page, databases and desk booking tool, producing occupancy reports that manage the real‑estate portfolio, including lease tracking, critical dates, accrual records, and key asset records.
  • Provide spreadsheet‑based data support to subject matter experts (SMEs), including the COO of Finance, Global Head of Facilities, Regional Heads of Facilities, Workplace Design SME, Health and Safety SME, Operational Compliance Lead, and Security Business Partner.
  • Coordinate with regional teams for accurate and timely upkeep of databases such as ESG, Real Estate, Projects Listing, Health and Safety, WITO (Who Is In the Office) and the Computershare desk‑booking tool.
What will you bring to the role?

The successful individual will have experience administering and maintaining facilities related databases, excellent Excel skills, and the ability to handle large amounts of data while delivering succinct and timely reports to stakeholders.

Key attributes
  • A high level of experience managing data in Excel and database reports.
  • Experience working in a large complex organisation, ideally with global exposure.
  • Strong stakeholder engagement skills, clear communication and ability to provide BAU and ad‑hoc reports on time.
  • Ability to respond to a wide range of queries from the business, make rational judgments, identify issues and present solutions.
  • Experience with Power BI is preferable but not essential.
  • Exposure to ESG data and reporting is advantageous but not essential.
