The role provides dedicated administrative support to the Minor Works Team within the Home Office (HO) and Ministry of Justice (MOJ) contract, covering over 500 manned and unmanned TFM sites across the UK and Europe.
Responsibilities- Delivery of a wide variety of administrative tasks with a focus on delivering excellent administrative service.
- Provide efficient clerical and administrative support to Programmers, Senior Managers, and the Head of Minor Works.
- Manage the end-to-end Fire Risk Assessment remedial process with a clear audit trail.
- Maintain operational data such as the training matrix, reporting, and other records.
- Assist in preparing for internal and external audits and support site mobilisations as needed.
- Assist with HR-related matters, including investigations and note-taking, and collate overtime trackers in line with departmental timelines.
- Support the daily management and progress of Work Orders from initiation to completion, ensuring timeliness in line with contract SLAs.
- Ensure Work Order progress information recorded on CAFM systems is accurate and updated promptly.
- Oversight and maintenance of the department's email communications inbox.
- Undertake other reasonable management requests as required.
- Proactive attitude with a strong focus on delivering excellent customer service to stakeholders and ability to work well in a team.
- Proficient IT skills including MS Word, MS Excel, and MS PowerPoint; comfortable with numerical reasoning.
- Engaging communicator with effective influencing skills and ability to adapt communication style to different audiences.
- Well-organised, able to multi-task, prioritise, and manage competing demands; project- and deadline-oriented mindset.
- Calm under pressure with excellent attention to detail and accuracy.
- Understanding of Work In Progress (WIP) and ability to keep WIP for the contract to a minimum.
