Virtual Client Services Representative - Galaxy Vets
We are looking for a Virtual Client Service Representative to join our growing team!
Galaxy Vets is a new employee‑centric healthcare system with a mission to give veterinary medicine back to veterinary professionals. We are open 7 days a week 12‑12, providing urgent and emergency veterinary care to local communities.
With 7 clinic locations in 4 provinces and 1 state (Prince Edward Island, New Brunswick, Nova Scotia, Ontario and Texas) our VSR team is growing!

- Answer and screen incoming telephone calls, take messages, provide information or refer callers as appropriate regarding procedure activities and services; provide specific information to clients regarding clinic procedures.
- Be attentive to client and patient needs, speaking clearly, calmly and slowly.
- Learn and properly pronounce, know the meaning of and spell commonly used veterinary terminology.
- Provide prompt, courteous, and professional telephone and email communication.
- Update and maintain client and patient database with accurate information and timely data entry.
- Request and organize medical records to and from referring practices.
- Show empathy toward clients and treat pets with compassion and respect.
- Actively participate in hospital meetings (virtually), providing input and suggestions.
- Provide resolution and timely follow‑up with customers.
- Seek assistance to handle calls requiring extensive problem‑solving.
- Perform all duties in a manner consistent with the company Mission Statement, Philosophy, and Core Values.
- Communicate effectively and use a professional approach with all team members, managers, supervisors, clients.
- Possess excellent computer skills and accuracy in data entry; especially important as we are a cloud‑based practice.
- Understand and carry out oral and written directions.
- Perform other duties as assigned.
- Use of laptop or desktop with monitor and headset required (company will provide hardware).
- Must have high‑speed internet access (min. 25 Mbps).
- Must have a quiet space free from distractions to ensure optimal client experience.
- Must understand the sensitive nature of client information and take appropriate measures to ensure security and privacy.
- High School diploma or GED certification.
- Veterinary/hospital or call centre experience preferred (3‑5 years).
- Veterinary Technician experience considered an asset.
- Experience with veterinary software preferred (Digitail).
- Strong verbal and written communication skills, good judgment, and ability to manage multiple tasks at once.
- Ability to provide great customer service.
- Close attention to detail and ability to multitask.
- Must be available to work weekends, evenings and holidays as needed.
- Must be comfortable working independently with minimal supervision.
- Must be computer savvy and comfortable sitting at a desk.
- Must be comfortable working from home and have a suitable space with a hard‑wired internet connection.
