SharePoint Online Designer – Defence Client
This on‑site contract role focuses on securing, standardizing, and optimizing information management platforms, primarily SharePoint Online, GCdocs, and Microsoft 365.
Requirements: 5 days/week on‑site at Ottawa (west).
Key Responsibilities- Conduct a comprehensive review of existing information management (IM) platforms and configurations.
- Identify gaps in security, access rights, design consistency, and content discoverability.
- Map existing IM sites and resources, including internal and external components.
- Assess alignment with organizational digital strategy and applicable service standards.
- Develop a work plan outlining timelines, milestones, and resource requirements.
- Evaluate alternative approaches for securing and standardizing IM platforms.
- Compare design frameworks and permission models across relevant platforms.
- Assess feasibility, scalability, and compliance of each option with organizational policies and applicable directives.
- Document pros and cons of each solution, including risks and mitigation strategies.
- Recommend preferred options for implementation based on strategic fit and operational impact.
- Identify key stakeholders across the IM community, including site owners, administrators, and end users.
- Facilitate consultations to gather input on current pain points, needs, and expectations.
- Present findings from initial assessment and options analysis to stakeholders.
- Incorporate stakeholder feedback into planning and design decisions.
- Maintain ongoing communication to ensure transparency and buy‑in throughout the project lifecycle.
- Develop a phased implementation roadmap for securing and unifying IM platforms.
- Align roadmap with organizational digital strategy objectives and applicable policy requirements.
- Define short‑, medium‑ and long‑term goals, including key deliverables and performance indicators.
- Include change management and training components to support adoption.
- Ensure roadmap supports priorities such as administrative rights, risk mitigation, and user engagement.
- Configure permissions, groups, and role assignments in IM platforms based on approved models.
- Apply unified design templates across internal and external sites.
- Develop and deploy tools or scripts to automate routine administrative tasks.
- Ensure IM guidance and resources are published in a consistent, accessible format.
- Test and validate solutions to ensure functionality, security, and usability.
- Prepare briefing materials summarizing project status, key findings, and strategic recommendations.
- Present roadmap, options analysis, and stakeholder feedback to leadership.
- Highlight alignment with organizational digital strategy and policy objectives.
- Provide risk assessments and mitigation strategies for decision‑making.
- Offer clear, actionable insights to support governance and resource allocation.
- Must currently hold a valid Reliability‑level security clearance.
- 5 years (60 months) experience within the last 10 years conducting strategic IM analysis in a federal context.
- 3 years experience in business process analysis and or program design.
- 3 years experience in the use of the M365 suite of products including SharePoint Online and Power Platform.
- Must be willing to work on‑site in Ottawa (west) 5 days/week.
