Job Description & How to Apply Below
United States - Remote
Location: This position may be performed remotely, but requires the flexibility and willingness to travel as needed.
The Opportunity
Help bring accurate, high-quality materials to the people who need them. As Specialist, MLR Submissions & Production Quality Assurance, you will help move materials through Medical, Legal, and Regulatory (MLR) review and into print production and distribution. Your work will make submissions easier to review and help ensure final materials match the approved content.
You will prepare submissions in Veeva RAPID, organize supporting references, and link and tag claims to source documentation. Working with marketing, medical, review teams, and agency partners, you will perform quality assurance checks in Veeva Promo Mats, resolve submission and production gaps, and keep work moving with clear priorities and timely communication.
Primary Responsibilities
- Prepare complete, accurate submission packages in Veeva RAPID so MLR reviewers have the materials and supporting documentation they need to begin review.
- Upload and organize supporting references, link and tag claims to the relevant source passages, and confirm that reference annotations are complete and easy for reviewers to follow.
- Check submission details, document naming, metadata, version history, and required supporting files to ensure materials meet established process requirements.
- Partner with content owners and agencies to resolve missing references, incomplete annotations, formatting issues, and other submission gaps before review; raise unresolved issues promptly.
- Support revisions and resubmissions, maintaining accurate claim-to-reference links and confirming that updates and supporting files belong to the correct document version.
- Perform quality assurance checks on final materials in Veeva Promo Mats, comparing production files against MLR-approved content and confirming that required changes have been incorporated.
- Review copy, references, footnotes, required disclosures, layout, and production details. Identify discrepancies, coordinate corrections with internal teams and production partners, and confirm resolution before release.
- Complete assigned production approval and release steps for print production and distribution, consistent with established procedures and approval authority.
- Maintain clear submission and production status, communicate priorities and risks to deadlines early, and recommend practical improvements that reduce avoidable rework and turnaround time.
Qualifications and Key Success Factors
- Experience supporting biopharmaceutical promotional review, MLR submissions, editorial operations, or medical and marketing production, with examples of delivering accurate work against deadlines.
- Experience proofreading documents for print production, ensuring accuracy in spelling, grammar, punctuation, formatting, and consistency with final approved content before release to print vendors.
- Familiarity with preparing submission packages, managing references, and linking claims to supporting source documentation. Hands-on experience with Veeva Promo Mats and Veeva Med Production is required.
- Experience as an editor or medical editor, including proofreading, reference checking, and reviewing scientific or medical content, is required.
- Experience with medical production, promotional print production, or final material quality assurance, including comparing production proofs against approved content, is a plus.
- Strong attention to detail, demonstrated through identifying inconsistencies in copy, annotations, document versions, and production files and following corrections through to completion.
- Sound judgment and strong organizational skills: manage competing deadlines, make priorities visible, and ask for help or elevate issues before they put quality or delivery at risk.
- Clear, candid communication and a collaborative approach. Take ownership of your work, ask questions when requirements are unclear, and use feedback to improve how the team works.
- The physical and mental requirements of our roles include but are not limited to regular use of a computer, devices or other office equipment, clear communication, and occasional movement. You'll need comfort with screen work, basic hand coordination, and focus. Reasonable accommodations may be made to enable individuals with disabilities to perform these functions.
