Reporting to the Shop Manager, the Shop/Service Administrator will play an integral role in improving product quality, streamlining processes to boost efficiencies, and ensuring service and production items are completed on time and within budget. This position is primarily responsible for providing quotations within established guidelines while delivering excellent customer service. The role blends coordination and administration tasks.

General Responsibilities
  • Quotation review to ensure details are accurate and pricing is correct
  • Communicate quotation timelines and order status to customers as required
  • Communicate order status, process improvement, and related issues to management
  • Manage multiple orders or projects at various stages for both service and production
  • Oversee/coordinate materials procurement, provide sourcing alternatives as needed
  • Provide recommendations to shop and management on scope of work with options to suit customer requirements
  • Develop work instructions and source parts/component information that supports technicians on the shop floor
  • Implement continuous improvement to identify daily working process issues and create efficiencies
  • Establish and maintain a strong working relationship with management and shop personnel
  • Develop expertise relevant to the production and repair process to support peers and colleagues
  • Work with management and colleagues to refine existing processes and the quality program
  • Clearly communicate quality issues, identify areas for improvement, and make recommendations to management
  • Plan orders with drawings and OEM information as required to streamline the production process, decrease component costs, and increase labour efficiencies
  • Provide/Develop work instructions for production items and repairs necessary to support the Applied customer base and service requirements
  • Support shop personnel and management to ensure Applied meets specific customer requirements and standards
  • Collect, review, and assemble service and production turnover documents as required
Qualifications
  • Experience in a hydraulic service and repair industry is considered an asset
  • Ability to communicate effectively
  • Computer knowledge
  • Knowledge of quality management systems
  • Ability to prioritize and manage a number of tasks and complete a variety of assignments within structured deadlines
  • Ability to communicate effectively with customers
  • Customer‑service oriented
  • Demonstrate sound judgment
  • Strong technical knowledge of hydraulic systems and components in a service environment
  • Ability to effectively communicate technical findings in writing and verbally
  • Ability to clearly communicate work instructions to shop personnel to document and preserve evidence of failure
  • Able to work within a team environment and develop relationships with teammates
  • Ability to work safely, lead by example, and contribute to overall company safety
  • Fully operational with Microsoft Office (Word, Excel); SAP experience considered an asset
