- Provide high‑level administrative support to the Group CEO, Group CFO, MD Group Services, and MD APAC, MENA & Americas Revenue and other C‑suite executives as required.
- Schedule and coordinate internal and external meetings, including agendas and logistics.
- Welcome and host visitors, ensuring a professional and warm experience.
- Manage Board Meeting preparations, materials, and logistics.
- Organise complex executive travel arrangements and oversee visa requirements as needed.
- Manage, process, and reconcile executive expenses in a timely and accurate manner.
- Coordinate corporate gifting and employee vouchers for various milestones and celebrations.
- Plan and execute team events such as leaving dinners and birthday lunches.
Office Management Responsibilities
- Order and manage office supplies and amenities to ensure staff have what they need.
- Maintain a clean, welcoming, and well‑functioning office environment, including repairs and maintenance.
- Develop and implement plans to improve office operations and efficiency.
- Coordinate and manage lunch orders for meetings, and prepare the boardroom for internal and external use.
- Ensure meeting rooms are tidy, well‑equipped, and ready for use.
- Oversee compliance with health and safety regulations; conduct regular checks and maintain records.
- Support compliance with internal and external audits.
- Greet and welcome clients and visitors to the office.
- Relay messages accurately and manage updates to the internal company intranet page.
- Serve as the go‑to contact for staff, visitors, and new starters.
- Review and approve office‑related invoices.
Travel Management Responsibilities
- Maintain the UK Group travel system.
- Act as account administrator and point of contact for travel system queries.
- Implement and roll out the travel system across other business subsidiaries.
Event Planning Responsibilities
- Lead and collaborate with the social committee to organise meaningful and engaging employee events.
