The Opportunity

We are looking for a Secretary Administrator to join our team at a Primary Care Head office in Liverpool St. The appointed person is expected to follow relevant policies, procedures and work instructions, and report to the appropriate superior if objectives cannot be met or a problem occurs, the resolution of which is outside the scope of his/her authority.

As an Administrator you’ll be responsible for the daily administration of internal and external Documentation/correspondence received by the admin department. The role can be fast‑paced, so if you enjoy working in a busy environment, apply today!

Key Responsibilities
  • Maintain physical and electronic filing systems.
  • Perform data entry and document formatting including
  • Support with the organisation of internal and external events.
  • Respond to telephone, email, and in‑person enquiries with professionalism.
  • Greet and manage guests and visitors, ensuring high standards of customer service.
  • Redirect communications appropriately and escalated where necessary.
  • Maintain and update databases and practice management systems (e.g., HRIS, CRM, or medical systems like Bluespier).
  • Scan, archive, and ensure confidentiality of sensitive documents in compliance with GDPR.
  • Support audit and compliance preparations by ensuring accurate data management.
About You
  • Minimum 2 years in an administrative role
  • Comfortable interacting with staff and external stakeholders at all levels.
  • Experience in medical, HR, legal, or finance admin environments (desirable)
  • Strong communication skills (verbal and written)
  • Strong organizational and time management skills
  • Ability to multitask and prioritize under pressure
  • Able to work independently and as part of a team
  • Strong Microsoft Office (Word, Excel, Outlook)
