Position Summary

As HR Coordinator, this role is a driving force behind assuring precision in offer management and a seamless employee journey, ensuring every team member feels supported, welcomed and informed. This role is key to powering our new hire experience while bringing structure to the human side of business. Sitting at the intersection of Recruitment and HR Operations, this role is critical to orchestrating both the beginning-of-service lifecycle and end of service, while supporting employee changes and compensation data gathering to ensure competitive and equitable offers are made with precision, discipline, and energy.

This role requires passion in delivering exceptional employee experiences to our team; and is ideal for someone who thrives in a dynamic environment, loves to connect the dots between teams, and brings structure to critical HR processes without losing the human touch.

Main Duties and Responsibilities
  • Act as the bridge between Talent Acquisition and HR Ops, translating offer details into actionable HR steps, and ensuring data accuracy and continuity across systems.
  • Partner with payroll, IT, and hiring teams to keep processes running efficiently.
  • Draft, coordinate and action all employee changes within systems and personnel files.
  • Track employment contracts, probation periods and policy acknowledgements.
  • Prepare offer letters using Word/Docu Sign and manage background check processes through to completion.
  • Coordinate both new hire and end of service documentation and timely systems set up of new hire records in SharePoint, HRIS and related systems, keeping us compliant and audit-ready.
  • First Day Success Management: work with IT, Facilities, HR and Hiring Managers to ensure new hires have everything they need for an amazing first day (email, access, etc.).
  • Manage and continuously improve our BoS workflow, ensuring every new employee experience is smooth, professional, and personalized.
  • Help manage internal documents like org charts, contact lists, and employee directories.
  • Serve as a friendly point of contact for new employees during pre-boarding and onboarding.

Compensation Support & Benchmarking:

  • Gather Compensation Data:
    Support HR and Recruitment teams by collecting internal and external compensation data during offer creation and hiring reviews.
  • Market Benchmarking Coordination:
    Assist in compiling benchmarking reports, liaising with Total Rewards or external providers to ensure our offers are aligned with market trends and internal equity.
  • Offer Package Documentation:
    Ensure all offer-related details are accurately captured and shared with relevant stakeholders for payroll, HRIS input, and reporting.

HR Operations & Project Support:

  • Assist in HR reporting (turnover rates, onboarding metrics, etc.) on a regular basis.
  • Support HR events (orientation, training sessions, wellness initiatives).
  • Identify opportunities to improve system usage, workflows, and automation within the HRIS.
  • Ensure HR practices are aligned with relevant federal and provincial legislation (e.g., ESA, OHSA, Human Rights Code, and PIPEDA).
  • Support internal audits and maintain accurate documentation and records retention.
