Onsite Coordinator

CK Group are recruiting for a Onsite Coordinator on behalf of an industry leading manufacturer of Scientific instruments, to be based on one of their client sites in Slough, on a permanent basis.

About the role :

The successful candidate will work as part of a small, collaborative onsite team, supporting one of our key One Source accounts. You will work closely with another Site Coordinator and the rest of our on-site team, sharing responsibilities and helping ensure that service operations run seamlessly each day.

Your responsibilities will include :
  • Work jointly with our other Site Coordinator to schedule and manage all equipment maintenance – from preventive to corrective work.
  • Share responsibility for tracking work orders in our systems, ensuring statuses are kept accurate and up to date.
  • Partner with your fellow Site Coordinator to communicate with customers, engineers, and vendors – ensuring clear, aligned messaging and reducing duplication.
  • Provide support during vendor visits, including coordination, documentation checks, and escorting responsibilities when required.
  • Jointly handle vendor coordination — requesting quotes, scheduling activity, following up on outstanding work, and ensuring documentation is complete.
  • Assist with raising purchase requisitions and purchase orders, working with your teammate to split and organise procurement tasks efficiently, when required.
  • Collaborate with the team to track equipment adds, changes, and removals across customer and internal systems.
  • Ensure service entitlement, coverage, and documentation are accurate and complete.
  • Work with your fellow Site Coordinator and site team to identify workflow improvements and enhance the customer experience.
About you :
  • Be team-oriented and collaborative, with the ability to share responsibilities, communicate openly, and support colleagues.
  • Be highly organised, able to manage multiple moving parts while maintaining accurate records.
  • A strong communicator, comfortable engaging with customers, engineers, and vendors.
  • Be proactive and reliable, with a problem-solving approach and a focus on service quality.
  • A customer-focused individual, ensuring every interaction is professional, clear, and helpful.
  • Previous experience in service coordination, scheduling, laboratory support, or a similar operational role and experience using service management or scheduling systems would be advantageous.
