Your role will involve supporting the administrative services manager in the day‑to‑day running of the administrative service. You will be primarily based at Ealing Hospital, but you will be expected to work cross site if required.
The Administration Coordinator is the first point of contact for patients and visitors who are referred or admitted to the Accident & Emergency Department or who may be seeking information on patients who are in the main hospital. A key part of this role is to ensure an excellent level of customer service and attention to detail is delivered throughout the team.
This role provides the administration/clerical function for the department as well as the Trust, including the electronic admission and discharge of patients treated.
Post holder will be available to work a rotating 24‑hour shift pattern, with appropriate breaks.
Position will work at any of the Trust’s sites, but will mainly be at Ealing Hospital. The post holder will be expected to work across the UTC and ED floor providing administrative support, and the role requires flexibility to achieve its outcomes.
Responsibilities- Work as part of a team.
- Work flexibly across both ED & UTC to ensure administration rotas are optimised.
- Provide and receive routine information regarding patients requiring tact and discretion, using persuasive skills with awareness of Trust and Caldicott guidelines.
- Deal with enquiries from patients, medical staff and the general public in a professional and cooperative manner.
- Maintain a professional telephone manner toward patients/relatives and other staff.
- Maintain confidentiality of information about patients, staff and health service businesses in accordance with Trust Confidentiality Policy and the Data Protection Act.
- Act as first point of contact when dealing with bereaved family and friends, requiring discretion, tact and compassion.
- Inform patients of different care options.
- Communicate with clinical leads of the department to transcribe medical notes written for patients admitted to observation wards or attending.
- The work is predictable in daily duties but patient numbers can be unpredictable; frequent concentration is required.
- Administrators are exposed to distressing information regarding complex clinical conditions and treatments carried out on patients.
