the Role

This is a fixed-term role until July 2026, working 21 hours per week over 5 days (ideally starting at 8:30 am).

We are seeking a highly organised and proactive Executive Coordinator to support the Director of People Services at Swansea University. The role involves managing complex diaries, coordinating high-level meetings, and handling sensitive communications with discretion and professionalism. The successful candidate will prepare reports and presentations, monitor email correspondence, and ensure timely follow‑up on actions. You will work closely with senior stakeholders across the university, contributing to strategic planning and continuous improvement initiatives.

Responsibilities
  • Manage complex diaries for the Director of People Services.
  • Coordinate high‑level meetings and handle sensitive communications.
  • Prepare reports and presentations.
  • Monitor email correspondence and ensure timely follow‑up on actions.
  • Work closely with senior stakeholders across the University.
  • Contribute to strategic planning and continuous improvement initiatives.
Qualifications
  • Highly organised and proactive with excellent time‑management skills.
  • Strong communication and interpersonal skills.
  • Experience handling diaries, meetings, and confidential information.
  • Ability to work independently and as part of a team.
  • Proficiency in English and basic Welsh language skills (Level
    1).

Welsh Language Skills
