Role Summary

The job holder will be a member of the Education and Events team, providing administrative support to both the Conference Manager and the Education Manager. Using existing and supporting the development of best practice systems and processes, the jobholder will ensure these two functions operate efficiently and effectively, and that the good reputation of the SLCC as well as our members are always well served.

As a small organisation, our group of officers work together across the wider organisation to provide support to each other and all functions, for example, members and the public have access to SLCC via telephones, email, and our website. Our phones are operated from 09:00 to 17:00 Monday to Thursday, and 09:00 – 16:30 on Fridays, with our officers working together to speedily answer calls and resolve issues.

In doing so, our officers build a good understanding of the work undertaken across our organisation.

Purpose of the role

The overall purpose of the role of the Education & Events Officer is to support the Conference Manager and Education Manager in carrying out their functions, and in particular:

  • Take responsibility for all administration related to our events schedule
  • Identify new training topics ensuring that what we offer is not only current but looks ahead to sector needs; and
  • Take responsibility for running our well established webinar programme
Key

Duties & Responsibilities
  • Ensure the topics and content of our webinar programme is relevant to our membership by working closely with our membership and using tools such as feedback forms from each webinar to build a database of what members are telling us they want
  • Working closely with our trainers, and doing independent research, propose new sessions that would be of benefit to our members, for instance emerging social and legal changes that relate to our sector
  • Build good working relationships with our trainers, ensuring they are aware of the terms of their engagement, supporting them in any reasonable needs they might have that improves the experience of our members
  • Schedule and promote the CiLCA training delivered by SLCC’s recognised CiLCA trainers
  • Identify additions to the webinar programme from expressions of interest, member feedback and our biennial membership survey
  • Deliver the SLCC webinar programme on MS Teams
  • Be the sole point of contact for launching SLCC webinars and welcoming all participants
  • Ensure webinars and their resources are listed correctly on the CRM in a timely fashion
  • Prepare a promotional brief for all SLCC webinars, liaising with the Sales & Marketing Officer to ensure all new courses are published on the website in a timely fashion
  • Monitor webinar bookings and take timely action to manage under booked events to keep trainers and delegates updated on cancellations/postponements
  • Produce & upload webinar resources (e.g. joining instructions, thank you emails, and feedback) to enable delegates to access directly from their member portal
  • Using mailing manager, compile thank you emails and feedback surveys for webinars, ensuring they are provided to delegates
  • Administer the Welsh Government bursary applications, providing members with appropriate information
  • Respond to delegate enquiries via phone and email in a professional manner
  • Produce and submit bi-monthly to the Editor of the Clerk Magazine, content to promote SLCC’s Education & Events offerings taking place within the next three months.
  • Maintain an expressions of interest register of new course topics requested by our members
  • Provide monthly statistics on numbers of webinars delivered and attendance numbers
  • Take responsibility for the administration of CiLCA registrations, namely, automated through our CRM system including registering each student with the awarding body (Ascentis)
