What is the Opportunity?
AUE is seeking a Permitting Coordinator to support utility and telecom projects through end-to-end permit management. You'll assemble and submit complex permit packages, track approvals, and collaborate with internal teams and municipal authorities to keep projects moving efficiently.
What You'll Do Here
Assemble permit packages (i.e., Municipal Consent, utility attachments, ROW/road occupancy, traffic control, encroachment, hoarding, tree, rail/conservation/MTO) using approved templates.
Verify package completeness—including checklists, signatures, fees, drawings, TMP/TTC plans, engineering sketches, utility locates, and photos—prior to submission.
Submit applications via municipal portals or email, ensuring correct formats, fees, and naming conventions.
Follow up with authorities to obtain status updates; capture comments and route to Design/CAD; coordinate resubmissions until approval.
Distribute approvals and conditions to the project team; ensure conditions are reflected in IFC packages and construction plans.
Maintain an accurate permit tracker (IDs, scope, jurisdiction, submission dates, comments, conditions, fees, expiry/renewal) in SharePoint or NetX.
Publish weekly permit status reports and highlight risks to Project Managers and clients; escalate blockers early.
Archive approvals, correspondence, and compliance evidence for audit readiness; manage renewals and amendments as needed.
What You Bring to the Team
2+ years of experience coordinating permits for utilities or construction; telecom background preferred.
Familiarity with municipal consent processes, traffic control submissions, and utility attachment requirements.
Comfortable reading plan/profile drawings; proficient with MS Office and permit tracking systems.
Highly organized and detail-oriented; able to manage competing deadlines across multiple jurisdictions.
Strong communication skills and a professional, customer-focused approach when working with authorities and clients.
Diploma or degree in Civil/Architectural Technology, Urban Planning, or a related field is considered an asset.
