Position

The Toronto, ON branch is looking for a resourceful, empathetic and collaborative individual to join our leading wealth management firm as an Administrative Assistant. As an integral part of the advisory team, you will provide ongoing, exceptional service and support to our clients and advisors, ensuring smooth operations and a superior client experience.

Responsibilities
  • Impact client experience through execution of client account administration, including account opening, maintenance and efficient resolution of client requests.
  • Maintain existing client accounts and identify opportunities to contact clients. Manage timelines and key dates for accounts to ensure clients feel supported.
  • Become well‑versed in internal controls and industry regulatory requirements, ensuring client files and documentation are accurate, up‑to‑date and compliant.
  • Respond to client inquiries in an understanding and time‑efficient manner (account transactions, requests, documentation, reporting, etc.).
  • Assist the advisor team in welcoming and onboarding new clients.
  • Coordinate and prepare meetings for advisors with clients/prospects.
  • Provide proactive client service by applying superior problem‑resolution skills.
  • Effectively manage incoming communications from clients, advisors and other internal and external partners.
  • Update the team's communication channels, including websites, Linked In, Facebook, brochures, newsletters.
Requirements Must‑have
  • Strong skills working with various business applications/technology.
  • High level of time management and organization skills.
  • Demonstrated skills in providing world‑class client service that appears professional, warm and friendly.
Nice‑to‑have
  • Canadian Investment Regulatory Exam, CIRE.
  • Knowledge of RBC Dominion Securities’ systems and procedures.
  • Experience in the securities industry.
