Duties
  • Ensure that all office work is managed efficiently, prioritising constantly changing priorities within a busy practice.
  • Support the timely and efficient processing of incoming referrals, schedule and reschedule patient appointments, respond to patient inquiries, cancel appointments, and complete reminder communications.
  • Complete administrative tasks that support data reporting requirements and a positive patient experience, including registering patients in UHN’s EPIC EMR system.
  • Exercise considerable judgment and independence in providing administrative support, using critical thinking, accurate information processing, and self‑directed follow‑through.
  • Follow‑up and upload documentation after patient consults with clinicians, nurse coordinators, and allied health, including sending notes back to referring clinicians.
  • Provide backup/cross‑coverage support as a member of an operational administrative team.
  • Be able to support physicians in various office locations, walking between UHN sites for assigned duties.
Qualifications
  • Completion of secondary school or recognized equivalent.
  • Post‑secondary office/medical administration program at certificate level or equivalent.
  • Two years of related administrative support experience.
  • Experience with EPIC EMR for managing referrals, appointment scheduling, and standard clinical operations.
  • Previous on‑the‑job computer/word‑processing experience in a Microsoft Office environment.
  • Experience working in a health‑care environment (asset).
  • Fluency in a second language (e.g., French) – considered an asset.
  • Knowledge of medical terminology – asset.
  • Excellent organizational and time‑management skills.
  • Excellent interpersonal, verbal and written communication skills.
  • Ability to work well under pressure and use good judgement in difficult situations.
  • Ability to operate effectively in an interdisciplinary team.

Current UHN employees must have successfully completed their probationary period, have a good employee record, and maintain satisfactory attendance per UHN’s attendance management program to be eligible for consideration.
