- Ensure that all office work is managed efficiently, prioritising constantly changing priorities within a busy practice.
- Support the timely and efficient processing of incoming referrals, schedule and reschedule patient appointments, respond to patient inquiries, cancel appointments, and complete reminder communications.
- Complete administrative tasks that support data reporting requirements and a positive patient experience, including registering patients in UHN’s EPIC EMR system.
- Exercise considerable judgment and independence in providing administrative support, using critical thinking, accurate information processing, and self‑directed follow‑through.
- Follow‑up and upload documentation after patient consults with clinicians, nurse coordinators, and allied health, including sending notes back to referring clinicians.
- Provide backup/cross‑coverage support as a member of an operational administrative team.
- Be able to support physicians in various office locations, walking between UHN sites for assigned duties.
- Completion of secondary school or recognized equivalent.
- Post‑secondary office/medical administration program at certificate level or equivalent.
- Two years of related administrative support experience.
- Experience with EPIC EMR for managing referrals, appointment scheduling, and standard clinical operations.
- Previous on‑the‑job computer/word‑processing experience in a Microsoft Office environment.
- Experience working in a health‑care environment (asset).
- Fluency in a second language (e.g., French) – considered an asset.
- Knowledge of medical terminology – asset.
- Excellent organizational and time‑management skills.
- Excellent interpersonal, verbal and written communication skills.
- Ability to work well under pressure and use good judgement in difficult situations.
- Ability to operate effectively in an interdisciplinary team.
Current UHN employees must have successfully completed their probationary period, have a good employee record, and maintain satisfactory attendance per UHN’s attendance management program to be eligible for consideration.
