Job Description

Sinai Health is looking for a Medical Secretary to support our Department of Obstetrics and Gynaecology at Mount Sinai Hospital.

The Medical Secretary is an integral part of the busy, dynamic and growing Urogynecology Division at Mount Sinai Hospital. In this role, you will be expected to exercise sound judgment and independence while managing the day-to-day related administrative activities. You will demonstrate a strong commitment to quality customer service, applying excellent problem solving and communication skills to ensure the success of the program.

This position will be based at Mount Sinai Downtown site, and will be responsible for the following:

In this role you will:
  • Manage patient intake and prepare records before each visit including entering all demographic and referral information
  • Reconcile outstanding OHIP billing each month
  • Book follow up appointments such as post ops, pre ops, consults, tests, and new referrals and arrange interpreters when required
  • Confirm all patient appointments and replace unconfirmed appointments with other patients
  • Monitor electronic questionnaires and send reminder emails 3 to 4 days before appointments
  • Build and maintain the clinic schedule at least four months in advance
  • Pull abnormal and urgent results for the physician and follow up with patients as instructed
  • Reconcile any very urgent EMR tasks by the next business day
  • Ensure OR notes and surgical pathology reports are included in charts for 6 week post operative visits
  • Support patient flow from check in to change room and exam room
  • Coordinate pre operative appointments with the office and PAU and arrange any required consults or tests
  • Enter OR booking requests into Novari and maintain the OR waiting list
  • Prepare OR packages as needed
  • Prepare daily clinic lists for the physician and nurse and prepare the physician’s weekly calendar
  • Review and manage daily email, faxes, and mail
  • Answer phone calls, return voice messages and emails promptly, and direct inquiries to the appropriate staff
  • Arrange CT scans, ultrasounds, and other diagnostic tests ordered by the physician
  • Maintain pessary supply inventory, track orders and payments, and reconcile them monthly
  • Maintain and order office stationery supplies
  • Type draft medical, legal, and patient related correspondence as required
  • Respond to all email correspondence sent by the physician to close the communication loop
  • Keep the workspace clean and organized
  • Perform other related duties as assigned
Job Requirements
  • Successful completion of a college diploma, preferably in the field of Office Administration or Business Administration, from an accredited educational institution
  • Minimum two (2) years of recent secretarial experience (experience in a teaching/health environment is preferred)
Preferred
  • Proficiency with medical terminology
Skills and Knowledge
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook
  • Strong work ethic; positive, client-focused attitude; superior professionalism; dependability and reliability; demonstrated commitment to providing outstanding customer service
  • Superior written and oral communication and presentation skills; excellent interpersonal and relationship-building skills; ability to effectively convey factual information and detailed explanations
  • Excellent time management, organizational, and self-planning skills, with flexibility to adjust work schedules according to changing priorities, meet demanding deadlines, and produce high-quality work
  • Demonstrated ability to make decisions, exercise good judgment, discretion, and initiative when dealing with confidential information and responding to inquiries
  • Demonstrated satisfactory work performance and attendance record
