Job Summary
The Site Logistics Coordinator plays a critical role in ensuring the smooth procurement, tracking, and flow of materials to meet project and production schedules. This position works closely with suppliers, installers, fleet teams, and internal stakeholders to guarantee accurate, on-time deliveries while resolving logistical challenges and maintaining thorough documentation. You will support project planning by providing material updates, maintaining tracking tools, and collaborating with project leaders to keep operations running efficiently.
Key Responsibilities
- Coordinate procurement, staging, and material flow to align with project and production schedules.
- Partner with Purchasing Agents to maintain accurate inventory levels through tracking, reconciliation, and supplier communication.
- Prepare and update material look-ahead schedules (e.g., 3-week PO forecast).
- Monitor order status with suppliers to ensure timely and complete deliveries.
- Arrange material deliveries to job sites based on project priorities.
- Coordinate delivery bookings and material drop-offs/pickups with installers, internal fleet, and clients.
- Troubleshoot logistics issues and maintain clear communication with all stakeholders.
- Support service work by coordinating quotes, schedules, and material availability.
- Participate in project meetings, providing updates on material status, risks, and mitigation plans.
- Maintain project spreadsheets, purchase order logs, and material tracking tools (e.g., PG/Build, C2G).
- Resolve discrepancies in deliveries, quantities, and supplier performance.
- Ensure materials are delivered on time and in full to meet production and project requirements.
- Conduct occasional site visits as required.
Qualifications
Education:
- Bachelor’s degree or diploma in Business, Supply Chain Management, or equivalent experience (asset).
Experience:
- Minimum 3+ years of professional experience in purchasing, procurement, or supply chain/inventory management.
- 3–5 years of planning experience within a manufacturing environment.
- Familiarity with planning tools and systems (ERP/MRP/Scheduling).
- Strong organizational skills with experience in forecasting, budgeting, and resource planning.
- Proficient in Microsoft Office (Excel, Outlook) and ERP systems.
- Excellent communication and listening skills.
- Ability to quickly learn new concepts and ask clarifying questions when needed.
- High attention to detail and accuracy.
- Data-driven mindset with strong analytical skills.
