Overview Administrative assistants ensure smooth office operations by supporting managers, teams, and departments. Their responsibilities range from routine clerical tasks to more complex coordination duties depending on the organization’s size and industry.
Key Duties and Responsibilities- Manage calendars, schedule meetings, and coordinate conference rooms.
- Answer phones, greet visitors, and handle incoming/outgoing mail.
- Draft, proofread, and send professional correspondence (emails, memos, reports)
- Prepare meeting agendas, take minutes, and distribute follow‑up actions.
- Maintain filing systems, databases, and office records.
- Assist with travel arrangements and itinerary preparation.
- Support document preparation, formatting, and presentation materials.
- Restock office supplies and coordinate with vendors as needed.
- Proficiency with word processing and spreadsheet software.
- Strong communication and writing skills.
- Organizational and time‑management abilities.
- High school diploma minimum; associate or bachelor’s degree increasingly preferred.
- CAP (Certified Administrative Professional) certification is beneficial.
- Entry‑level: 0–2 years
- Mid‑level: 3–5 years
- Senior: 6+ years, often supporting executives.
Administrative assistants remain essential for ensuring efficient operations and supporting organizational productivity.
