An exciting opportunity has arisen within the Child and Adolescent Mental Health Service (CAMHS) in NHS Grampian. We are looking for two enthusiastic, organised and highly motivated Outpatient Secretaries to join our friendly and supportive administration team. Both of these positions are full-time and permanent, worked Monday to Friday within the hours of 9am to 5pm.
CAMHS provides specialist mental health services to children, young people and their families across Grampian. As part of our administration team, you will play a vital role in supporting clinicians and ensuring young people receive timely access to the care and support they need.
Our service operates pan-Grampian, with two main sites based at City Hospital in Aberdeen and the Rowan Centre in Elgin. We are happy for successful candidates to be based at either location, depending on individual preference.
As an Outpatient Secretary, you will provide a high-quality administrative and secretarial service to a large multidisciplinary clinical team, contributing to the smooth and efficient running of the service. This is a varied and rewarding role where no two days are the same.
Key responsibilities include:
- Audio typing and clinical correspondence
- Booking appointments using patient management systems
- Waiting list management
- Supporting a range of clinics, including Choice, Partnership and ADHD clinics
- Managing generic mailboxes and responding to telephone enquiries
- Providing reception cover and general administrative support as required
We are looking for individuals who are motivated, reliable and able to provide excellent support to patients, families and colleagues. You must have strong communication, organisational and IT skills, with the ability to work independently, manage competing priorities and adapt to the changing needs of a busy service. Equally important is the ability to work collaboratively as part of a supportive team environment.
Experience of NHS systems is highly desirable, as you will work daily with systems such as Trak Care and Dragon. However, we are also keen to hear from applicants who can demonstrate strong administrative skills and a willingness to learn.
There may at times be a requirement for the post holder to provide administration support to the Parent and Infant Mental Health Service (PIMHS), particularly during periods of leave. This offers additional variety within the role and the chance to develop wider knowledge and experience across mental health services.
