The opportunityWe are seeking a highly motivated individual to provide administrative coordination for the Bachelor of Veterinary Science (BVSci) intra‑mural rotations (IMR) which is key to the smooth and efficient running of IMR for students in the final year of studies. IMR placements take place throughout the year in a variety of distributed sites including veterinary practices, veterinary public health services and other appropriate veterinary settings.
The role primarily provides administrative support for IMR. There will be a requirement to deal regularly with highly confidential and sensitive information. Liaison with IMR placement providers and SRUC’s Clinical Teaching Fellows (CTFs) will be a key part of this role.
Main responsibilities- Maintain records relating to intra‑mural rotations (IMR) to ensure coordination of IMR activity, including but not limited to:
- Registration and contract status of IMR providers, including Health and Safety and insurance documentation
- Information provided to students via the student handbook, Moodle virtual learning environment, teaching activities and other relevant portals
- Quality assurance visits
- Clinical Teaching Fellow (CTF) visits during student placements
- Correspondence including complaints
- Manage large and complex datasets related to the above elements
- Provide support for travel and accommodation arrangements for CTFs and IMR placement students
- Monitor and manage IMR communications, answering and redirecting correspondence where required to ensure a high level of service provision for staff, students and external contacts
- Coordinate student placements with framework providers in line with contractual agreement
- Field queries from new potential placement providers and direct to other staff as appropriate
- Serve as a key point of contact for students and placement providers with IMR queries
- Monitor and audit records of student activity, ensuring information is captured effectively and students meet assessment requirements
- Provide relevant information, reports and summaries, including reports on student activities while on placement, student numbers by placement, and ensuring that students have the right mix of placements, requiring manipulation and analysis of large datasets
- Assist with the review, development and implementation of administrative procedures and processes
- Maintain discretion when dealing with highly confidential and sensitive information
- Other duties commensurate with the grade and focus of the post
- Work as part of a wider administration team within the School
The ideal candidate will have a good general standard of education, including English and Mathematics qualifications to at least SCQF level 5 (or equivalent). A qualification in business administration would be desirable and demonstrable experience working within an administrative role requiring liaison with external partners is essential.
