You must be obsessed with customer service and consistently follow proven company procedures and checklists to guarantee the extremely high standard that Martin & Co delivers.
Responsibilities- Completing all applicant vetting in line with procedures.
- Preparation of maintenance, compliance, and contractual items before the start of a new lease.
- Conducting pre‑market and pre‑move inspections.
- Meeting and greeting tenants who are moving in.
- Arranging works for any maintenance issues arising during a tenancy.
- Arranging and carrying out regular property inspections.
- Liaising with tenants and landlords as soon as arrears occur, and following up matters until solved.
- Registering deposits in Safe Deposit Scotland at the beginning of tenancies, and arranging deductions/refunds once the property has been vacated.
- Organising regular compliance items including Gas Safety Checks, EICRs, PATs and Legionella Risk Assessments.
- Managing the property key system, ensuring complete adherence to sign‑out and sign‑in procedures. Releasing keys and ensuring they are returned within appropriate time frames.
- Liaising with tenants and landlords at the end of the tenancy to achieve a very high satisfaction level from both customers.
- Organising works at the end of the tenancy to bring the property back to the required high standard to let again.
- Void management to reduce void periods between tenancies.
- Assisting with the management of front office dealing with face‑to‑face, telephone & e‑mail inquiries.
- Driving rental growth, ensuring rents are maximised yet competitive within the local market.
- Providing first‑class customer service to residents.
At least two years of previous experience in the letting industry, great attention to detail and excellent verbal and written communication skills are essential.
Full Clean Driving Licence essential (Portfolio Managers are required to carry out regular visits to the properties they are responsible for).
A thorough previous employment and reference check will be completed as part of the selection process.
